Snapshot We are looking for a highly motivated and talented Event Logistics Manager to join our Travel and Logistics team within Events and Experiences, during an exciting time in our company's history. This is a rare opportunity to work alongside a leading Travel and Logistics team who connect, enable & Inspire our people and communities through thoughtful and exceptional logistics management to support our events and experiences. We support driving connection and collaboration across multiple locations, time zones and disciplines. Travel and Logistics plays a key role in supporting this and helping to shape, amplify and deliver Google DeepMind's Culture. The Role As a Travel & Event Logistics Manager you will be part of the global Google DeepMind Events & Experiences team. Embedded in the Travel and Logistics team, your role will be responsible for planning and delivery of logistics for a wide variety of events across the globe including: internal & external conferences, leadership events, summits, dinners, receptions and culture events. In this role, you will partner with various teams across Google DeepMind and Google, as well as external agencies and vendors, ensuring seamless delegate logistics operations and exceptional attendee experiences. You will also support group travel and critical travel requirements for VIP and attendees. The ideal candidate will possess a strong understanding of event logistics, excellent organisational skills and a proactive approach to problem solving and collaboration. Key Responsibilities: In this role you will: Gain a deep understanding of the Google DeepMind mission and key objectives of the travel and logistics team within Events and Experiences. Partner closely with the Events programs team to ensure alignment on event projects and effective delivery of logistics. Work autonomously and as part of the travel & logistics team. Build effective working relationships with internal and external stakeholders across various projects. Research, identify and secure suitable venues based on event requirements, budget and location, building a pool of approved venues. Develop and manage efficient online and on-site registration processes for large scale events, overseeing delegate accreditation and distribution. Provide delegate management coordinating travel, accommodation and transport for delegate groups. Partner with internal communications to develop and manage comprehensive delegate communication plans, including pre-event, onsite and post-event communications. Manage delegate communications, pre-event information and post-event follow up. Provide onsite support and assistance to delegates and guests addressing inquiries and actively resolving issues. Plan and manage Food & Beverage requirements for events, including catering selection, dietary needs, table and menu planning, coordinating with caterers and agencies. Implement and apply brand strategies, ensuring consistent brand application across all event materials and signage to bring the event to life. Coordinate production and installation of all branding. Plan and deliver socials, meetups & poster sessions for Google DeepMind delegates at international conferences and large scale events. Partner with the Event Manager to ensure compliance with health and safety regulations, develop safety and escalation plans and ensure all security measures are being followed. Partner closely with agencies and suppliers for logistics elements, managing the event logistics budgets, tracking expenses and ensuring cost-effectiveness. Apply your event logistics and delegate management knowledge to evolve the Google DeepMind Event Experience and streamline processes. Manage and respond to travel-related queries for inter-office travel, speakers, events and conferences in line with Global travel policy. About You You are detail-oriented, a problem solver and have detailed experience in event/delegate logistics and travel. You have experience working for a global company and understand the nuances that need to be considered when planning logistics for international events. You understand the importance of operational efficiency and ensuring that the delegate experience remains at the forefront of planning. You are a keen collaborator and communicate at all levels. You also have experience working on large scale and international events ensuring everything you do aligns with goals and objectives of the event. To ensure that you are set up for success as a Travel & Logistics Manager we look for the following skills and experience: Demonstrated event/delegate logistics experience on a wide portfolio of events that vary in scope, scale and concept. Meticulous attention to detail on planning documentation and delegate information. Natural problem solver. Curious and always open to new ideas and learning opportunities. History of integrating and adapting quickly into working cultures and liaising with stakeholders at various levels. Good network and knowledge of the events industry, delegate management, current and future trends. Track record of working with agencies, suppliers and other partners. Extensive experience of managing logistics for multiple, complex projects simultaneously, from start to finish. Budget management skills. Confident and articulate in both verbal and written communication, with excellent time management skills. Comfortable navigating change and ambiguity and working at pace. Ability to work independently and as part of a team with a collaborative and inclusive approach. Passionate & motivated to provide excellent experiences, whether supporting small internal meetings or larger global high-profile events. Interest or experience in science and innovative technology, including in the field of artificial intelligence research. Experience with Google Suite tools, including functionality within Google Meet.
